Secretary Report for 6 May 2003

The meeting was called to order by the President at approximately 7:05PM. It was determined that sufficient representation of the executive board was present for a quorum for voting on issues raised.


Secretary’s report:

The April 2003 minutes were reviewed and accepted with corrections.

Treasurer’s Report:
Henry McQueen, Treasurer

The Treasurer’s report was presented by Henry McQueen. April was the club’s big income month due to the success of the Swap Meet. However, income was down from the previous year and not all of the expenses from the Swap Meet have been received. Three advertisers on the club’s web site have payments that are overdue; the treasurer and Webmaster will coordinate notifying the advertisers. Preliminary tax information has been received from the accountant and should be finalized by the May 15th filing deadline. The Treasurer has submitted a question to National regarding what happens to the club’s assets should it be dissolved. The information is needed for the club’s tax returns. The Zone 2 Representative reported that National will require electronic fund transfers (EFT) in the near future for all transactions.

Membership Committee:

The Membership report was not provided due to the absence of the Membership Chairperson. The Zone 2 Representative provided the Autocross Chairperson with a point of contact (POC) in PCA to assist a PCA member with transferring into the CPA Region.

Social Committee:
Ed Kriens, Chairman

He reported that 25 members had signed up for the German Party and 37 seats had been reserved for the New York City bus trip. The location of the annual holiday party was discussed. The West Shore Country Club could provide a dinner on Friday, Dec 19th, for approximately half the cost to the club as last year's party. A motion was offered and passed to authorize the Social Committee chairperson to make reservations and negotiate the menu and any other associated details.

Social Committee:

The bus trip to New York City had 43 attendees and resulted in a minimal cost to the club. In conjunction with the Swap Meet, there was a gathering of 80 968 owners and 11 911T owners this year. The coordinator for the 968 event submitted an expense receipt for that group’s activities. The expenses exceeded the amount provided by National by $14. A motion was offered and passed to pay the additional amount. August 16th has been chosen for an event featuring go-karts and the location will be determined based on availability and cost. A proposal for holiday party favors was presented. The item was an ink pen that lit up when used. A motion was offered but did not pass to pursue obtaining the pens. The consensus was party favors should have the CPA Region logo on it and the pens would not.

Website/Newsletter:

The Newsletter Editor reported that a new advertiser from Massachusetts had signed up to advertise on the web site. The web site is averaging approximately 1,000 hits per week. Forums are now active on the web site but usage is low at this time. May 13th is the deadline for the Web Site of the Year competition held by National. The Newsletter Editor had a copy of the criteria and the club’s web site should compete well.

Tech Committee:

Preliminary discussions with Aircooled Racing and Autohaus Lancaster regarding a fall Tech Session have been held. Tom Wanner of Autohaus Lancaster, who was in attendance, volunteered the services and facilities of Autohaus Lancaster for a fall Tech Session with a preliminary date of October 11th. Details will be worked out with the Tech Chairperson. The Tech Chairperson reported that updated safety guidelines had been received from National and were being reviewed.

Autocross Committee:

Investigation into the possibility of using the Harrisburg East Mall parking lot has revealed that the facility is not well suited for autocross events. However, the facility may be suitable for Driver's Ed events. A prospective sponsor for the autocross events has been identified and efforts to secure the sponsor will continue. A discussion regarding the need to upgrade the timing equipment for autocross events followed but no motions were put forth at this time.

Driver's Ed:

Investigation of the feasibility of using the Harrisburg East Mall parking lot for driver's ed events is taking place. Of the 15 available spaces for the Watkins Glen event, only 5 spaces remain. The Northeast Region will lock in spots for events by strict rules which will be further outlined in a subsequent meeting.

Driving Events:

The 356 Registry is planning a caravan to Summit Point.

Swap Meet:

The autocross in conjunction with the Swap Meet went very well with approximately 70 participants. The new timing equipment worked well and contributed to an enjoyable event by all. The next autocross is scheduled for May 11th and will feature the CPA Region versus Reisentoter. The question of advertising the CPA autocross events more widely was presented by one of the attendees. After discussion, the consensus was not to expand advertising of the events since attendance is good and the number of cars entered is easy to manage at this time. It was also noted that other regions are aware of our events through distribution of our newsletter and the Calendar of Events on the club’s web site.

Driver Ed:

Not all of the CPA members wishing to attend the Drivers Education event at Watkins Glen sponsored by the Niagara Region were able to register for the event. There were reportedly 150 applications for 128 spots within the first couple of weeks after the event was announced. The Driver’s Ed Chairperson is awaiting information on the instructor to driver ratio. The Chairperson is looking for other Driver’s Ed events and will report any progress in the future.

Driving Events:
The Italian Festival is June 15th in Wilmington, Delaware.

Charity Events:
The date for the Polo event in September has not been determined yet.

Swap Meet:

The Swap Chairperson briefed the attendees on problems with parking and traffic control that had a negative impact on the Swap Meet. The Swap Chairperson has had discussions with representatives of Hershey and has sent letters to responsible individuals within the corporation. Hershey has not signed contracts for 2004, 2005 nor 2006 for the Swap Meet. There were some problems with Swap Meet volunteers not arriving as scheduled and equipment not working properly in the rain. A more complete report of the Swap Meet will be provided after the response from Hershey.

Vice President's report:

The Vice President reminded the attendees that the AACA (Antique Automobile Club of America) has numerous events scheduled over the summer months.

Corrections/additions to the calendar of events:
A motion was offered and accepted to change the date of the next board meeting to June 10th due to the large number of executive board members attending the Driver’s Education event in Watkins Glen on June 2nd and 3rd.

Unfinished business:
By-laws: Voting on the by-laws changes ended on May 5th, the votes were tallied, and the changes to the by-laws were approved by the membership.
Club logo items: Andrew Slusar volunteered to investigate some providers of custom logo materials and report back to the executive board his findings.

Other business:
A special “thanks” to Landis Brothers for providing a motorized cart for the club’s use at the Swap Meet. The President read a letter of thanks from Judy Hendrickson, the PCA National Treasurer, who attended and judged cars at the 968 Celebration and attended the Swap Meet.
Stan Carpenter of the Susquehanna Valley Vintage Sports Car Club (SVVSCA), who was in attendance, provided a recap of the Hershey Hill Climb that was held on the same weekend as the Swap Meet. The Hill Climb is open to vintage cars only which means cars manufactured prior to 1974. Porsche was represented at the Hill Climb with two 914s and three 356s participating. Approximately 4,000 spectators were on hand Sunday for the event. The SVVSCA plans to continue holding their event on the same weekend as the Swap Meet and looks forward to strengthening the relationship with the CPA Region. Next year’s event will be held on April 24th.
The Zone 2 PCA Representative provided updated information on the 2005 Porsche Parade which will be hosted by Zone 2. A list of positions will soon be provided and volunteers will be needed to assist in planning and preparation. One of the early positions needed is a point of contact for a rally. Sandy Antonucci, a member in attendance, volunteered.
Tom Wanner of Autohaus Lancaster thanked the club for the work done at the Swap Meet and congratulated all involved. He provided a suggestion to consider providing entertainment or activities for children attending the event with parents. The Swap Chairperson will check into options available and take the suggestion into account with planning next year’s Swap Meet.
Bill Hapke, a Swap Meet volunteer, reported problems with the clubs radios at the Swap Meet. The radios did not have sufficient range to cover the large area the volunteers were responsible for. He suggested the club either upgrade the radios or consider renting radios for events when needed. The Swap Chairperson will look into upgrading and/or renting radios for future events.
